Food & Beverage Coordinator
The incumbent in the position is responsible for providing a full range of secretarial and administrative support activities for the food and beverage department to ensure smooth operation of the office.
Key Responsibilities
- Determines and implements the procedures and standards of an effective filling system
- Provides adequate supplies of stationary and to ensure that the following forms are used and kept updated at all times: Time and attendance sheets, Purchase orders, Travel requisitions completed for business trips, Collateral reprint orders, Holiday and sickness leave, Hotel compiled information packs and Expense forms.
- Maintains an up-to-date operating manual of the department, comprising policies and procedures, rules and regulations, forms and forms-flow
- Compiles monthly reports to be completed by 1st of each month
- Composes, prepares routine correspondence for signature.
- Ensures that miscellaneous items are purchased as needed with approval of the Head of department.
- Ensures sensible and effective use of the telephones – all incoming calls are promptly answered in an agreed manner
- Keeps Calendars constantly updated to facilitate appointment and meeting schedules.
- Establishes and maintains various filing/records/database of business contacts, traces pending items and follows up as appropriate.
- Functions as an administrative link between and among all levels of hotel employees, guests, tenants and external contacts to ensure that all parties receive the relevant information.
- Arranges for various meetings, takes minutes, and as required with monthly meetings.
- Compile and update staff files
- Compile and check time and attendance records for casual staff
- Additional responsibilities and tasks can be added at any time according to the needs of the business and of the hotel.
Desired Skills & Qualifications
- Minimum of 1 to 2 years’ experience in a similar position
- Preferably in an international, luxury five-star hotel
- English – excellent communication skills
