Job Position – Backstage Coordinator

Areas of responsibilities are:
- Maintain communications with clients and stakeholders, ensuring all Backstage requests are implemented.
- Arrange backstage room allocations, setup, signages, and rider requests.
- Collaborate with relevant departments to ensure a seamless operation, such as facility management, catering, production, marketing, and security.
- Coordinate Meet & Greet, and media interviews, supervising the crowd flow and access control authorization.
- Liaise with the Technical Production department regarding running times notifying the Events Manager and Event Control as appropriate.
- Monitor the backstage bump-in/bump-out operations, reporting damages to the relevant department.
- Support the vehicle accreditation for the loading dock and access authorization.
- Create the house backstage pass accreditation.
- Update and control the backstage inventory files.
- Oversee backstage assets, including laundry and furniture.
- Ensure backstage set up is in accordance with requirements and event plan during bump-in and bump-out.
- Collection and distribution of backstage access passes.
- Distribution and collection of marketing posters to clients/artists. Complete the Event Checklists and submit to the assigned Event Manager during readiness phase.
This role will be under a Freelance Agreement.

Your experience should include:
- Minimum of 2 years of relevant experience in the event industry.
- Administration, assistant and/or executive assistant experience.
- Working knowledge of planning and managing medium to large scale events is desirable.
- Current knowledge of hospitality/events trends.

- Excellent command on MS Office
