Job Position – Document Controller

Responsibilities:
– Preparing document transmittals and maintaining an organized document filing system via ACONEX, WRENCH, ASSAI (EDMS SOFTWARES)
– Enforce adherence to Clients standards, processes, work instructions, and specifications by contractors and consultants
– Maintaining a detailed document control log to track all activities.
– Responsible for receiving, logging, distributing all technical documents, assisting in the coordination, and monitoring of administrative activities to facilitate and expedite the Workflow.
– Coordinating with the respective Project Managers, Engineers to ensure the correctness of the records.
– Maintain Correspondence log for submitting and receiving of project related all documents.
– Register all incoming and outgoing correspondences, MOMs, Drawings & technical submittals.
– Sustain the Master Document Register (MDR) and Document Distribution Matrix (DDM) through frequent updates and maintenance.
– Managing incoming and outgoing communication/ Letter related to the projects via (EDMS)
– Creating and processing project requests and documentation
– Manage and control all project documents, including drawings, specifications, manuals, correspondence, and reports
– Ensure all project documents are properly labelled, filed, and easily accessible to all team members
– Develop and maintain a document control system, including document numbering, filing, tracking, and distribution
– Provide document control support to the project team and ensure all project documents are reviewed and approved according to established procedures
– Ensure compliance with project document control procedures
– Coordinate with other departments and stakeholders to ensure timely and accurate document delivery and receipt
– Perform quality checks on all project documents to ensure accuracy and completeness
Qualifications:
– Bachelor’s degree or equivalent in a relevant field or equivalent work experience
– 5+ years of experience in document control, preferably in a construction or engineering environment for ADNOC EPC projects.
– Strong organizational and time management skills
– Excellent attention to detail and accuracy
– Proficient in Microsoft Office and document management software
– Familiarity with document control procedures and regulations
– Ability to work independently and as part of a team
– Strong communication and interpersonal skills
– Fluency in English, both written and verbal
