Job Position – Project Administrator

With experience in the Oil & Gas industry to join our clients team. The ideal candidate will have a strong background in project administration, including the preparation of LOA, management of CICPA passes, and other essential documentation. This role requires excellent communication skills, the ability to manage multiple tasks efficiently, and a thorough understanding of industry-specific procedures and compliance.
Key Responsibilities:
Prepare and manage LOA and ensure timely approval.
Handle the application and renewal processes for CICPA passes, ensuring compliance with security and regulatory requirements.
Support the project management team by maintaining accurate records, tracking project milestones, and coordinating with various departments.
Assist in the preparation of project reports, documentation, and presentations.
Manage project-related correspondence, including emails, letters, and internal communications.
Coordinate meetings, schedule appointments, and organize travel arrangements for project team members.
Monitor project budgets, track expenses, and assist in financial reporting.
Ensure all project documentation is up to date, accessible, and properly archived.
Liaise with clients, contractors, and government entities to facilitate project requirements.
Contribute to continuous improvement initiatives within the project administration processes.
Qualifications & Experience
Bachelor’s degree in Business Administration, Project Management, or a related field.
Minimum of 8 years of experience as a Project Administrator, preferably in the Oil & Gas industry.
Proficiency in preparing LOAs and managing CICPA passes.
Strong organizational skills with the ability to manage multiple tasks and deadlines.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Knowledge of project management software and tools is a plus.
Familiarity with industry regulations and compliance requirements.
Ability to work independently and as part of a team.
