Job Position – Logistics Coordinator

1. You are fully responsible for ensuring that items are systematically checked for availability, painting, inspection, packing, and safe loading according to the schedule. A more detailed description is provided below, which may be subject to change depending on specific project requirements or potential improvements.
2. To maintain the shipment schedule, expedite job progress on a daily basis and report any deviations to the Production Manager.
3. Jobs should generally be dispatched by model, with close attention to model completion. Where required, an erectable sequence of shipment will be provided to you.
4. Ensure that there are no excesses or shortages in delivery compared to the items listed on the Delivery Note.
5. The Dispatch Section is responsible for product packing, which should be done by model. Check for proper packing and secure loading to ensure the product reaches its destination undamaged. Packing should be planned and completed before the truck arrives, and loading must be finished within 3 hours of the truck’s arrival to avoid demurrage charges.
6. Wire-to-ship items should be securely tied with the main member before shipment.
7. Maintain stock of packing materials, and ensure the cost remains within budget.
8. Keep packing and dispatch man-hours within the project budget allocated to you.
9. Ensure trucks or trailers are loaded to their maximum capacity or volume.
10. To avoid non-delivery claims, take clear and legible photographs of each bundle on the truck. Save soft copies in the system, with the packing list number as the file name for the photos.
11. Coordinate with the QA Department for the internal “Finished Inspection Release Note” (FIRN) or the client’s “Inspection Release Note” (IRN).
12. Once FIRN/IRN is issued, material must be dispatched within 72 hours or 3 working days.
13. Upon receipt of FIRN/IRN, ensure all material is physically available. Report any discrepancies or shortages to the QA/Production Department within 24 hours.
14. If material cannot be dispatched within the stipulated time, inform the Operations Manager to discuss and agree on a new schedule.
15. The Dispatch Department is responsible for sending or collecting material from subcontractors. Ensure material movement is monitored closely.
