Job Position – Office Manager

You will provide vital support to the CEO, acting as the primary liaison for internal and external stakeholders. You’ll be responsible for managing schedules, coordinating meetings, handling correspondence, and ensuring the seamless operation of the CEO’s office.

Key Responsibilities:
• Manage the CEO’s agenda, plan appointments, and organize board meetings/conferences.
• Attend meetings and prepare detailed minutes.
• Screen and redirect calls as necessary.
• Handle and prioritize all correspondence (emails, letters, packages).
• Arrange travel and ensure secure handling of confidential documents.
• Prepare invoices and assist in bookkeeping.
• Monitor and manage office supplies, negotiate with suppliers for cost-effective solutions.
• Maintain organized electronic and paper records.
• Conduct research and create reports/presentations.
• Schedule meetings and manage conference room logistics.
• Proactively manage the CEO’s complex calendar and travel itineraries.

Required Qualifications & Experience:

• Education: Bachelor’s degree (required).
• Experience: Minimum 5 years as a Secretary to a CEO.
• Strong organizational and multitasking abilities with high attention to detail.
• Excellent interpersonal, written, and verbal communication skills.
• Proactive problem-solving and decision-making capabilities.
• High level of emotional maturity and discretion in handling confidential information.
• Proven ability to meet deadlines in a fast-paced environment.
• Proficiency in MS Word and Excel; basic English proficiency.
