Job Position – Property Management Assistant
Company Name – Ultimate HR Solutions
Location – Dubai.
Role – Long Term Contract.
Salary – AED 8000/- to AED 12,000/-
Who will be responsible for overseeing the daily operations and maintenance of portfolio, which comprises residential buildings, commercial spaces, or mixed-use developments within UAE, via collaboration with facility management contractors, owner associations, external agents, and tenants.
Roles and Responsibilities
1. Property & Facility Management
-Responding to external agent or potential tenant inquiries.
-Assist in overseeing the operations of vendors and contractors for various services, such as cleaning, maintenance, and security.
2. Tenant Relations and Communication
– Maintain regular and effective communication with tenants through email, phone, and in-person meetings.
-Address tenant inquiries, concerns, and complaints promptly and professionally.
-Manage all of the leasing processes.
– Assist in preparing and distributing tenant notices regarding rent reminders, maintenance schedules, and policy updates.
3. Community Owners Association
-Maintain effective communication with homeowners via email, phone, and Whats App when required and coordinate with the Owners Association (OA)
– Extract opening balances and newly invoiced charges from MOLLAK’s reports.
-Assist the OA in collecting due and overdue service charges through circular notices and follow-up emails. Provide regular financial reports to management on service charge collections.
– Support the OA in developing long-term plans for the community, including capital improvements and strategic initiatives.
Qualifications and Preferred Skills
-Minimum of 3-5 years of experience in real estate property and/or community management or a related field.
-Preferred Certifications: M-100, M-202, M-201
– An Associate’s degree in Property Management, Real Estate, Business Administration, or a related field is preferred.
-In-depth knowledge of the Dubai real estate market and local regulatory environment.
-Proficiency in MS Office and relevant software: YARDI, Iskaan, Mollak.
-Ability to maintain high ethical standards and integrity in all property management activities.
-Ability to work effectively as part of a property management team and coordinate activities with other departments.
-Ability to pay attention to detail in lease agreements, financial reports, and property inspections.
-Skill in collecting rent payments, handling delinquent accounts, and managing financial records.
