Job Brief

The Pet Shop Grooming & Spa is looking for a highly organized, result driven Receptionist/Admin to deliver excellent standards of customer service and animal welfare to the grooming salon.

We are looking for a polite, professional Customer Service and Administration Executive to work closely with other team members to provide outstanding service to our customers by answering questions, handling complaints, and troubleshooting problems with our products and services. The Customer Service Representative may handle a high volume of inbound or outbound calls or both and should seek to create a positive experience for each caller.  Additionally, they should be highly organized, and result driven to grow and maintain the customer base, manage appointments, salon cleanliness and pet’s welfare that are in their care.

You should be customer-focused, detail oriented, and efficient. You should be polite, reliable, knowledgeable, and adaptable.

Receptionist/ Admin Responsibilities:

· Good understanding of all aspects of dog & cat grooming – small pet and bird is a bonus.

· Strong customer service and sales/retail skills.

· Guaranteed pet safety & comfort.

· Ensure grooming salon meets high health & sanitation standards and is well maintained.

· Ensure grooming displays and shop use products are well maintained in appearance and stock levels are above minimal for the salon functionality.

· Following all policies, procedures & rules and provide support to the Supervisor.

· Manage client database

. Carrying out clerical work

. Handling Telephone inquiries.

. Manage the general department email inbox, responding o general questions.

. Perform additional administrative work.

. Schedule appointments and meeting for clients.

. Route planning for all the appointments

. Work with clients to gather information & documentation in a timely manner.

. Receive the customers in friendly manner and provide information & assistance regarding the procedures.

. Seize opportunities to upsell products when they arise

· Recommendations for products or services that may better suit client needs.

. Managing the team on a daily basis

· Adhering to all company policies and procedures.

Requirements:

· High School Diploma or equivalent.

· Exceptional customer service, active listening, and verbal and written communication skills,

professional phone voice.

· Understanding of company products, services, and policies.

· Proficiency with computers, especially with CRM software and MS Office.

· Ability to ask prying questions and diffuse tense situations.

· Strong time management and decision-making skills.

· Adaptability and accountability.

· Fluency in multiple languages may be desired.

Preference:

English speaking

Pet Grooming industry knowledge is an advantage.
