Job Position – Secretary

-Taking Minutes of the Meeting:
Attend meetings and accurately record minutes.
Prepare and distribute minutes to relevant parties in a timely manner.
Maintain an organized record of past meeting minutes.
-Outlook Tracking Emails Regarding Project Tracking:
Monitor and manage the Outlook email account for project-related communications.
Ensure timely responses to emails and follow up on pending items.
Organize and track project progress through email correspondences and update relevant stakeholders.
-Scheduling Meetings:
Coordinate and schedule meetings, ensuring all relevant parties are informed.
Manage and update the meeting calendar.
Arrange necessary resources and logistics for meetings (e.g., conference rooms, equipment).
Additional Responsibilities:
Maintain an organized filing system for important documents.
Assist in the preparation of reports, presentations, and correspondence.
Provide general administrative support to the team as needed.
Handle confidential information with discretion.
Ensure the office environment is maintained in a professional and organized manner.
Qualifications:
Bachelor’s Degree.
Proven experience as a secretary or in a similar administrative role.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Excellent organizational and time-management skills.
Strong communication skills, both written and verbal.
Ability to multitask and prioritize tasks effectively.
High level of discretion and confidentiality.
