SECRETARY/PERSONAL ASSISTANT
Correspondence
• Monitor and provide timely responses or acknowledgments to emails
Co-ordination
• Co-ordinate with other departments on work status.
• Co-ordinate with accounts department for raising invoices on time and sending receipts when those are paid.
Proposals
• Prepare Proposals
• Maintain Proposal registers and scope library.
• Maintain client folders.
1. Maintain record of ongoing Audit Assignments
2. Coordinate with Audit Firms to track assignments
3. Conducting weekly meetings to reconcile workflows
4. Facilitating day to day team operations
5. Sending out follow-up emails for balance collection & pending documents/details from client-end
6. Monitor Karbon Software.
7. Monitor Payment Follows ups
8. Prepare payment projections for next quarter based on recurring work.
9. Scheduling Onboarding Sessions
10. Maintaining Client details and co-ordinate with sales team to create sales registers for each week.
11. Maintain team attendance & time sheet for out of office visits and prepare roasters.
12. Schedule and attend General Team meetings and prepare minutes of meetings.
13. Assigning & Distributing Tasks.
14. Conduct Client satisfaction surveys.
Skills required
• Excellent communication skills – both written and oral.
• Good time management skills.
• Reasonable understanding of the accounting industry.
• Minimum 1 year experience in Dubai.
