Job Position – Document Controller

Job Description:
Looking for a document controller who is managing and maintaining an efficient document management system for the organization. All project-related documents are properly categorized, archived, and easily accessible. He needs to work with project managers, engineers, and other staff to ensure that all documentation are accurate, up-
to-date, and compliant with company standards.
Key Responsibilities:
– Organize and maintain both physical and electronic documents.
– Ensure proper categorization, naming, and filing of all documents according to the organization’s document control procedures and log them in the VDRL tracker.
– Coordinate the flow of documents between departments, ensuring accuracy and timely distribution.
– Implement and maintain document control systems to ensure the version control and approval processes are followed.
– Monitor the progress of document submissions and approvals.
– Maintain records of all documents, including drawings, specifications
– Collaborate with project teams to ensure timely submission, review, and approval of project documents.
– Communicate any updates or changes in document status to relevant teams and stakeholders.
– Implement an efficient and systematic method for retrieving documents quickly and easily.
– Ensure secure storage and backup of all documents to avoid loss or damage
– Maintain accurate records of documents and generate regular reports for management on document status, compliance, and any outstanding issues.
– Track and report on document review and approval progress
Qualifications and Skills:
– A high school diploma is required; a bachelor's degree in a related field is preferred.
– At least 2–3 years of experience in a document control or administrative role, preferably in a technical or project-based environment
– Strong knowledge of document control procedures, practices, and systems.
– Excellent organizational and time management skill
– Attention to detail and accuracy in handling documents.
– Ability to work under pressure and meet deadlines.
– Strong written and verbal communication skills
– MS Word and MS Excell
– Familiarity with electronic document control software (e.g., Aconex or similar) is advantageous.
– Ability to maintain confidentiality and handle sensitive information.
