Description

We are looking to hire a talented Document Controller to join our team. You will be joining a creative, diverse team tasked with solving challenging problems constructing Amazon Data Centers. Our data centers are industry-leading examples of energy efficient, cost-effective designs. You will work alongside internal partner teams such as Engineering, Operations, Networking, Controls, Security, and Commissioning to build Data Centers that directly support our Customers. You will also communicate with external stakeholder vendors, and general contractors.

To be a successful Amazon Data Center Document Controller, you need to have a positive attitude, strong working knowledge of the commercial industry construction process, experience reviewing technical and contractual documentation, and strong communication skills. The document controller will deep dive documentation for completeness, update and create procedures to optimize workflows, and continuously keep the customer experience top of mind looking for improvement opportunities. This opportunity combines construction engineering, planning, project management, facilities management, and contract management interactions.

The Document Controller will manage the intake of construction contractor documentation, review documentation for completeness, process organized documentation to the correct storage locations, and update stakeholders with progress of final workflow documentation processing. Document Controllers should expect high volumes for documentation as part of project closeouts, and will need to exercise strong judgement on how to communicate and engage stakeholders through various tools.

Responsibilities

  • Checking documents for accuracy and contract compliance.
  • Manage simultaneous documentation projects and running the workflows where you engage with the correct stakeholders across the organization to raise the bar in the quality and the coherence of the content of the package provided.
  • Maintain and add user accounts, security groups, and permission access levels. Train and assist employees with accessing documents through our document management system.
  • Set up and work on training initiatives for our internal and external partners, and provide tactical support.
  • Continuously gather information from internal and external stakeholders to produce best practices and react to customer needs.
  • Assist in project closeouts, archiving, processing and filing activities.
  • Collaborate with technical teams in a fast-paced environment with demonstrated ability to edit and raise the bar on high-quality technical documentation.
  • Prepare and keep updated technical documentation until the closeout of the construction phase.
  • Provide coordination of all engineering and architectural specifications, design drawings, and permit submittals for projects.
  • Support the construction managers to prepare complete and accurate documentation for construction handoff, including but not limited to contacts, drawings, specifications, scopes of work.
  • Maintain repository for all construction work product by site. Ensure all documents are uploaded correctly.
  • Manage the processes around documentation within the organization.
  • Maintain confidentiality around sensitive documentation.
  • Prepare ad-hoc reports on projects when required.
  • Attend team meetings as a representative of the Document Control team, and communicate updates or requirements.
  • Develop procedures so that they are standardized and conduct audits to ensure processes are being followed.
  • Assuring red lined updates are reflected in as-built drawings provided to the owner.
  • Confirm that all Operations & Maintenance Manuals are provided to the owner by the contractor.
  • Review all warranties including full information on warranty status, terms, and contact information.

Basic Qualifications

  • Bachelor’s degree in project management or related field OR 4+ years of related of project records management experience on construction projects in lieu of a degree.
  • 4+ years’ experience as a construction document controller for large commercial, mission critical, or industrial projects.
  • 4+ years’ experience in the construction industry.
  • Experience with design and construction management software including Autodesk BIM360, Bluebeam, and Procore.
  • Experience with managing documents in various types of office software including Microsoft Office Suite (Outlook, Excel, Word, SharePoint).

Preferred Qualifications

  • Experience in design and construction and/or project management.
  • Experience working with collaborative management systems.
  • Proven work experience using file sharing sites for document posting, uploading, downloading, and manipulation.
  • Attention-to-detail including proven ability to manage multiple, competing priorities simultaneously.
  • The ability and motivation to take ownership of complex tasks.
  • Outstanding written and verbal communication skills. Proficient typing and editing skills.
  • Knowledge of the scope and construction life cycle sequencing of project schedules.
  • Organizational, analytical, and writing skills, to include solid experience in writing functional and technical specifications.
  • Able to read and interpret construction specifications and drawings for all disciplines.
  • Define data center system-level architecture, specify/document performance and equipment requirements, create/communicate conceptual designs, and create/maintain project documentation.
  • Meets/exceeds Amazon’s leadership principles requirements for this role
  • Meets/exceeds Amazon’s functional/technical depth and complexity for this role
