About the job

Tarabut Gateway is looking for a highly proactive and dynamic individual to serve as an Executive Assistant to our CEO in Dubai. The candidate will be responsible for the day-to-day operations of the CEO office and work on the CEOs communications ensuring that vital messages are relayed and cascaded; draft responses for correspondence and interact with other functions to ensure alignment with the CEO objectives. They would also manage the CEO staff meetings, prepare and facilitate senior management meetings, agendas, actions and follow up and work on extensive diary management. Additionally, they will accompany the CEO on all meetings, minute communication and follow up on necessary tasks.

Given the changing nature of the executive landscape, we rely on our assistants for flexibility and foresight, while maintaining confidences related to high-level systems and operations.

ROLE & RESPONSIBILITIES

  • Attending meetings along with CEO and accurately minuting, compiling and preparing reports, presentations and correspondence
  • Following up on tasks and deadlines
  • Keeping documentation organized
  • First point of contact for correspondence and phone calls
  • Managing the CEO’s diaries/calendars and organising meetings and appointments
  • Booking and arranging travel, visa, transport and accommodation
  • Managing databases and filing systems
  • Implementing and maintaining procedures/administrative systems
  • Collating and filing expenses
  • Conducting research on behalf of the CEO where required
  • Managing and organizing the CEO’s personal commitments where required

ABOUT YOU

  • Prior experience working in a tech startup is an added bonus!
  • The candidate must be based out of Dubai
  • Proven experience scheduling and managing hectic calendars
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
  • A highly organized, strategic thinker with the ability to communicate clearly and effectively
  • Excellent written and verbal communication skills, ability to manage time effectively
  • Ability to keep company confidences and multi task

COMPENSATION

A competitive compensation package of AED 20,000/- along with standard benefits and eligibility to participate in equity ownership.
