Job Position – QAQC Secretary

– High school diploma or equivalent; additional certification in office administration is a plus.
– Proven experience (5+ years) as a secretary, administrator, or similar role, preferably in construction, engineering, or a related technical field.
– Exceptional organizational skills and meticulous attention to detail.
– Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
– Excellent written and verbal communication skills.
– Ability to handle confidential information with discretion.
– Self-motivated, proactive, and able to prioritize tasks in a fast-paced environment.
Key Responsibilities
– Database & Record Maintenance: Update and maintain organized digital and physical filing systems for all quality records, certifications, and compliance documents to ensure quick retrieval and audit readiness.
– Document Management & Control: Prepare, format, file, and distribute all QA/QC documents, including the Quality manual, Standard Operating Procedures, and Standard formats.
– Report Preparation & Data Analysis: Assist in compiling data, generating routine quality performance reports, and creating visual dashboards to track key quality metrics and trends
– Good command of data analytical tools, including advanced functions in MS Excel (e.g., pivot tables, formulas) and familiarity with data visualization software such as Power BI.
– Communication Hub: Serve as the primary point of contact for the QA/QC department, professionally handling phone calls, emails, and inquiries from project teams, subcontractors, and clients.
– Administrative Support: Handle general office duties such as ordering department supplies, processing departmental invoices, arranging travel, and maintaining a tidy and efficient office environment.
– Meeting & Schedule Coordination: Manage calendars for QA/QC manager, schedule meetings (internal, client, and regulatory), prepare agendas, and take/distribute accurate minutes.
– Compliance Support: Assist in tracking audit schedules, renewal of licenses/certifications, and disseminating updated quality manuals or procedures to relevant personnel.
