Job Position – Administrative Assistant
Company Name – Infracare Facility Management
Day-to-day operations, including but not limited to documentation, report collation, managing the calendar, paperwork and filing, drafting correspondences, coordinating meetings, and follow-ups on the recorded MOM. The role also involves facilitating internal communication across departments and external communication as and when required.
– Perform secretarial responsibilities, including the administration of emails and scheduling meetings.
– Coordinate with all departments to assist in the effective management of services and process flows.
– Tracking and renewing of AMCs, and supporting in vendor management.
– Schedule appointments, maintain calendars, and allocate line manager time.
– Schedule meetings and reserve rooms for meetings.
– Assist in the planning and preparation of meetings, conferences, and conference telephone calls.
– Collation, preparation, and dissemination of necessary reports like the MIS reports.
– Prepare materials for workshops, conferences, meetings, etc.
– Assist with the preparation, calculation, and execution of the budget.
– Tabulation and follow-up on audit observations.
– Have a technical understanding of business operational requirements and operations to support the team.
– Able to prepare and update trackers for project works and PPM schedules.
– Develop and maintain a current and accurate filing system.
– Maintain records/minutes of meetings and follow up on tasks as per timelines.
Qualification:
– Bachelor’s degree in any relevant discipline
Experience:
– Minimum of five years’ experience in an administrative role; preferably with multinational industries; intermediate to advanced level;
– Sufficient experience in a similar role supporting managerial positions;
– Preferably from the FM industry. Knowledge of CAFM and other Facility Management Systems.
